Description

The Research Foundation for Mental Hygiene, Inc. is seeking a full-time Stores Clerk, in Facilities Management to perform manual and moderately complex clerical work of a general warehouse or stockroom nature including submitting purchase requests, sourcing supplies/equipment, receiving, inventorying, storing, accounting for, and issuing supplies, equipment, and materials used by the Facilities Management Department. The Stores Clerk, Facilities Management assists in maintaining accurate inventory records, managing a perpetual inventory of supplies available for issue and performing or arranging periodic preventive maintenance of mechanical tools and equipment. Ensure proper PPE supplies and compliance. Manage universal and hazardous waste streams.

Duties and Responsibilities

  1. Assists in maintaining an efficient and effective storeroom operation by following procedures to receive, unpack, inventory, store (as necessary), account for, and issue all shipments of mechanical supplies and equipment, such as lumber, nails, bolts, hardware, conduit, switches, electrical wiring, repair parts for valves, thermostats, pumps and fittings, hand tools, pipe dies and cutters, and similar type supplies and equipment.
  2. Utilizes a computer to determine stock balances, bin locations, inputs or retrieves data for routine operational needs, prepares reports, and performs perpetual inventory maintenance.
  3. Follows verbal and written instructions.
  4. Focuses on customer needs and customer satisfaction, projects a positive customer service environment to both internal and external customers, and promotes and encourages an attitude of exemplary customer service and integrity to all staff within Facilities Management.
  5. Procures materials, supplies, and equipment that meets the needs of the department and helps identify substitutions or interchanges and assures compliance with specifications by contacting vendors or researching catalogs and publications.
  6. Complies with NYS/RFMH purchasing guidelines and principles by maintaining strict accountability of all mechanical equipment and supplies received in the department, checking the condition and accuracy of shipments, resolving discrepancies with vendors, assisting in keeping verifiable and accurate records of all shipments, purchase orders, packing slips, invoices, receipts and related shipping documents for items delivered to the Facilities Management department, and sorting, classifying, and storing those items for ready identification and inventory.
  7. Conducts cyclic, special, and other inventories of bin and bulk stock items and identifies and corrects discrepancies.
  8. Reduces the potential for the loss of Facilities Management tools by issuing tools or equipment to departmental personnel only, maintaining a record of items issued for use by departmental personnel, and informing supervisory personnel when items are not returned as required.
  9. Assists in maintaining departmental tools, equipment, and machinery in operational condition by inspecting tools and equipment when returned to the stores area, making recommendations for and coordinating minor repairs or replacement of parts, and coordinating periodic maintenance and cleaning of tools and equipment as prescribed in the operator's manual or as directed.
  10. Contributes to an accident-free work environment by keeping the stores area clean, neat and orderly and free of clutter and debris, properly storing and handling hazardous materials, solvents, and chemicals, following the operator's manual for storage and use of tools and equipment, and operating various light delivery vehicles and/or equipment in a safe manner, adhering to all reasonable and prudent safety precautions and procedures.

Minimum Qualifications

Education: A high school diploma or the equivalent is required.

Experience: At least three years of successful experience in inventory management, storekeeping, or stockroom operations or at least three years of successful experience in business administration or bookkeeping in a construction or mechanical building trade is required.

Experience operating various motor vehicles, including light delivery vehicles is required.

Experience using materials' handling equipment, such as pallet jacks and forklifts, is preferred. Experience in inventory management, storekeeping, or stockroom operations for an organization dealing with mechanical, electrical, and plumbing goods is preferred.

Skills: Strong computer skills and familiarity with computerized inventory systems are required. Strong organizational skills are required; must be detail oriented. The ability to work independently and multitask in a fast-paced environment is required. Excellent communication and interpersonal skills are required. Strong customer service skills are required. The ability to understand and follow verbal and written instructions is required.

Effort: This position lifts and transports materials and on a daily basis; items weighing more than fifty pounds may require the assistance of others or the use of mechanical assistance. The nature of this position requires sitting at a computer, periods of standing, and frequent bending, stooping, and reaching on a daily basis.

License: A valid NYS driver's license is required.

Other: The scope of the position requires exposure to and use of greases, chemicals, solvents, and cleaners common to mechanical work that may be hazardous and/or cause injury if specific instructions regarding their mixture, use, and disposal/storage are not properly followed.
