Reporting to the Director of Clinical the incumbent will be responsible for providing a wide range of administrative support to executive level management of the Department of Psychiatry.
The Executive Assistant (EA) will provide administrative support and facilitate coordination of initiatives across the enterprise, including meeting support, faculty recruitment, and program development.
The EA will help facilitate and document senior leadership meetings, crafting, gathering feedback and sending out meeting summaries following each meeting. The incumbent will take the lead in coordinating and organizing select conferences and events. The incumbent serves as the primary administrative support to Directors.
In the role as EA, the incumbent will:
--Handle all travel arrangements and expense reimbursements on behalf of the Director, organizing itineraries, preparing travel reimbursements, and expense reports; maintain Director's calendar, including coordinating and scheduling appointments, meetings, and conferences (with strong follow-up); prepare agenda, meeting materials, and communicate with meeting participants.
-Handle all telephone calls coming into Director's offices
-Facilitate the day-to-day administrative tasks of the Director
-Draft correspondence; prepare materials for meetings.
-Expertly liaise with senior and administrative staff members and a wide variety of University and Hospital officials, faculty members, and external contacts.
-Greet, screen, and direct visitors and patients.
-Collect, distribute, and track incoming and outgoing office mail.
-Maintain and update faculty and staff databases.
-File and index Director's publications, correspondence, and other office materials.
-Perform other duties as assigned


Minimum Qualifications for Grade
Bachelor's degree or the equivalent in education, training and experience, plus four years of related experience.

Must possess excellent computer skills, including MS Office Suite (Word, Excel, PowerPoint). Candidate must be a dependable, highly motivated, proactive individual with a 'can-do' attitude and someone who can work under pressure while adhering to tight deadlines.
Effective team player with a strong, service-minded work ethic, candidate must maintain highest level of confidentiality, exceptional judgment, and diplomacy at all times.
Candidate must have demonstrated ability to work with minimal supervision. Must be detail-oriented with outstanding organizational ability to set priorities with ease and manage diverse projects and a large volume of detailed work simultaneously.
