The Research Foundation for Mental Hygiene, Inc. (RFMH) is seeking a qualified professional motivated and dependable individual to fill the position of Executive Assistant/Project Manager to the Vice Chair of Research at Columbia University/ New York State Psychiatric Institute, Department of Psychiatry.

This position requires independent judgment and discretion.  Additionally, the candidate of choice must be able to work effectively in a fast-paced environment who works well under the pressure of tight deadlines. Must be detail-oriented possessing outstanding organizational skills as they will be required to manage diverse projects along with a large volume of detailed work simultaneously.

This position will be reporting directly to the Vice Chair of Research and be responsible for providing a wide range of administrative support and facilitate coordination of initiatives across the enterprise, including meeting/scheduling support, faculty recruitment, program development, They will work together with leadership of New York State Psychiatric Institute, RFMH and Columbia University facilitating integration of projects that often need data and information from various sources.

Other duties and responsibilities include:
Maintain the Director's calendar, including coordinating and scheduling appointments, meetings, and conferences (with strong follow-up) including agenda preparation, meeting materials, and communication with meeting participants
Will be required to attend regularly scheduled meeting and be responsible for preparing and distribution of meeting minutes
Handle all telephone calls coming into Director's office
Facilitate the day-to-day administrative tasks of the Director
Prepare materials for meetings
Expertly coordinate with senior and administrative staff members and a wide variety of University and faculty members, and external contacts
Preparation of special projects as assigned by the Director
Preparation of Slide Presentations as needed
Responsible for on-going projects and initiatives
Other duties as needed and assigned

Minimum Qualifications
Bachelor's degree or the equivalent in education, training and experience plus, 5-7 years of related experience
Must have excellent computer skills, and be proficient in MS Office Suite (Word, Excel, PowerPoint).
