This is an exciting opportunity to join our collaborative administrative team at a world-class research institution.  This position has responsibility across three entities, Research Foundation for Mental Hygiene (RFMH), New York State Psychiatric Institute (NYSPI) and Columbia University (CU) Psychiatry. There is considerable interaction among the three organizations, therefore the complexity and dimensions of this position require outstanding skills and professionalism.

This position will work within the Office of Sponsored Projects and liaison with various investigators across the institute to provide pre- and post-award support for grant applications, as well as additional administrative tasks.


Pre- and Post-award Administration
Preparing budgets and budget justifications in preparation for grant application submissions
Compiling and formatting applications to meet sponsor specifications and deadlines
Working with grants management offices in the Department of Psychiatry to ensure review of all application materials and timely submission of all documents
Compiling and submitting to Grants and Contracts Office and Business Offices, all documents required to facilitate the execution of subcontracts and service agreements
Maintaining up to date biosketches and other support materials for investigators
Assisting Principal Investigators in the preparation of JIT requests, progress and final reports as per the sponsor's guidelines and deadlines
Monitoring project accounts to ensure expenditures are in accordance with sponsor and institutional guidelines and within budget
Working with the Sr. Administration in analyzing all accounts to prevent over/under spending
Preparing salary distributions in accordance with budgets

Processing of Invoices, purchase orders/requisitions, and travel reimbursements

Human Resources and Academic Affairs
Preparing job postings for new and replacement positions
Assisting in the hiring and termination process of employees
Working with HR, Academic Affairs and Immigration Affairs when requesting academic and professional appointments, credentialing, appointment renewals, and visa applications
Other Duties
Working with Sr. Administration during Annual Departmental Budget season, salary certification process and effort reporting

Minimum Qualifications:

Knowledge of Sponsored Projects administration
Expert organizational and interpersonal skills, and the ability to multitask in a dynamic and complicated
Ability to work within financial systems.
Proficiency in Excel.
Bachelor's degree required.
