Description:

Seeking a self-motivated, hard-working, detail-oriented individual for full-time employment as an Administrator in Columbia University's Department of Psychiatry's Division on Substance Use Disorders.  This individual will work at the New York State Psychiatric Institute (NYSPI) located at 1051 Riverside Drive under the supervision of the Divisional Administrator, David Hurst.  This individual will be an employee of the Research Foundation for Mental Hygiene, Inc. (RFMH).  This individual must possess excellent organizational skills, exercise good judgment and the ability to work without continuous supervision in a fast-paced, administrative environment.

 

Duties/Responsibilities:

This individual will coordinate and handle several key components of the Division on Substance Use Disorder's day to day operations at two institutions (RFMH, Inc. & Columbia University), including, but not limited to: ACCOUNTING: (1) processing of invoices and purchase orders, (2) accounts payable, (3) travel vouchers, (4) maintenance and disbursement of petty cash for clinical research, and (5) oversight and review accounts at RFMH, Inc. & Columbia University.  HUMAN RESOURCES: (1) coordination of Divisional hiring between corporate HR and investigator's staffs, (2) creation and processing of PAF's (at RFMH) and SDR's (at Columbia) at the request of the Divisional Administrator.  SUBCONTRACTS: (1) track and monitor subcontract renewals and amendments within the Division, (2) prepare subcontract agreement & amendment paperwork, (3) request AEA's for RFMH accounts & IPASS's for CU accounts for those grants about to rollover into their next grant periods, (4) provide f/u with the business offices to track and advance the subcontract process, (5) monitor account set-up at RFMH & Columbia once subcontracts have been completed, (6) provide back-up & assistance to Annmarie Clarke with prime grant applications during the 3 Federal grant cycles as required and available, (7) maintain CITI, HIPAA binders, IRB database and IND files & binders, (8) track and submit WebF-Task access requests, and (9) provide occasional back-up and assistance to the Division Director's administrator.

 

Minimum Qualifications:

Experience: (1) must have experience working with Federal grant submissions (NIH grants preferred), (2) previous experience working at either RFMH or Columbia University or both, (3) at least 5-10 years of administrative experience in a hospital or healthcare setting.  Education: (4) Bachelor's degree in healthcare, business or accounting, Master's degree preferred.  Skills & Training: a high level of computer literacy, especially with spreadsheets & accounting.

 

Preferred Qualifications:

Ideally, this individual will have previous work experience at RFMH, Inc. or Columbia University Medical Center or both in either a grants management or accounting position.  Must be a quick learner with multiple software programs (F-TASK at RFMH & ARC at Columbia).  Must be able to handle working on multiple projects simultaneously.  Must be well-organized and have excellent interpersonal skills in dealing with a wide variety of personalities.  Must be meticulous and detail oriented working with numbers and accounts.  Must be proficient with the standard software programs (e.g. Excel, Word, Powerpoint, etc.).
