The Molecular Imaging and Neuropathology Division is seeking a qualified candidate to fill a full-time position of Administrative Coordinator. The position reports to the Division Chief and the Division Administrator.



1. Day-to-day office function for the Director of the Division of Molecular Imaging and Neuropathology. He/she will be responsible for answering and providing/triaging information for the Director by telephone and in person. He/she will maintain the Director's electronic calendar and address book, schedule meetings, coordinate travel arrangements and submit and track all reimbursements
2. Update the Director's CV and publications
3. Assist the Director with written correspondence
4. Private practice management (Patient scheduling and billing)
5. RFMH purchasing/payables, such as preparing purchase requisitions in the ordering of all supplies, equipment, and services, paying invoices, completing pay orders for independent contractors and consultants, preparing travel vouchers, and following-up on issues as needed
6. Timely submission of time and accrual records and maintenance of personnel files
7. Assist with and follow through on work orders (e.g., equipment repairs, office moves etc.)
8. Handle filing and routing division mail and other routine office duties
9. Handle scheduling for the division, including the scheduling and coordination of division meetings.
10. Maintain inventory of office supplies
11. Manage Works-in-Progress Meetings
12. Organize and facilitate meetings, conferences, and other special events, as required.
13. Coordinates and oversees the day-to-day management of supplies, equipment and facilities.
14. Performs miscellaneous job-related duties as assigned.
15. Provide assistance to the Division Administrator


1. Bachelor's degree  
2. Minimum 2 years related experience in an administrative role within a research environment.
3. Proficiency in Microsoft Office, especially Word and Excel required.
4. Detail oriented with strong interpersonal, organizational, and writing skills.
5. Ability to meet deadlines and handle multiple projects simultaneously.
6. Ability to anticipate, problem solve, and implement systems that contribute to an efficient working environment.
7. High level of computer literacy


1. Previous work experience at RFMH, Inc. and/or Columbia University Irving Medical Center in grants management. 
2. Must be a quick learner with multiple software programs
3. Must be able to handle working on multiple projects simultaneously. 
4. Must be well-organized and have excellent interpersonal skills in dealing with a wide variety of personalities. 
5. Must be meticulous and detail oriented. 
6. Must be proficient with the standard software programs (e.g. Excel, Word, Powerpoint, etc.).
7. Master's degree
